Award Management

The Award Management group provides transactional support to college-based post-award staff and includes two-member teams assigned as follows:

Team A – College of Liberal Arts & Sciences

Team B – College of Engineering and College of Computing & Informatics

Team C – College of Education, College of Health & Human Services, and the Division of Academic Affairs.

Other colleges and administrative units currently do not have enough sponsored programs activity to warrant this team approach. Support for the College of Arts & Architecture, the Belk College of Business, the Division of Student Affairs, and other units will be handled on a grant-by-grant basis by Grants Management Services in RFR’s Office of Research Services; post-award financial management for these small-workload units will be handled by an appropriate Office of Research Cost Management (OCRM) Award Management team.

Team Approach for Optimal Post-Award Support

Each of the three ORCM teams is integrated into a separate support team for each assigned college. In addition to the two ORCM team members, the full support team includes pre- and post-award staff from the college, and pre-award staff from the Office of Research Services. Other RFR staff from Proposal Development, Contracts, Research Compliance, and Grants Management Services participate as needed.

In order to foster strong teamwork and effective communication, each team holds a weekly meeting, convened and chaired by the college sponsored programs officer, to review upcoming issues and unresolved problems.

Tasks

Awards Management teams handle the following tasks:

  • Grant/fund set-up and Banner budget entry
  • Subcontract review and encumbrance
  • Expense documents review/approval (travel, direct pay, personnel actions, tuition)
  • Journal voucher processing for cost transfers
  • Release time processing
  • Budget revisions
  • Award close-out
  • Final reconciliation
